"Group Booking Blocking” Functionality

Objective


The “Group Booking Blocking” functionality is designed to prevent an agency from exceeding the maximum allowed number of hotel bookings with the same characteristics.

The validation considers bookings that are already confirmed for the agency and is performed when a new booking attempt is made.


How does the functionality work?


For the restriction to be applied, the “Group Booking Blocking” option must be enabled at both levels:

  • Operator

  • Agency

If the functionality is disabled at either level, the maximum booking quantity validation will not be performed.


What is the booking limit?


The maximum number of bookings allowed is defined by a configuration in the operator settings.

For domestic hotels, the system uses the following setting:

Maximum number of domestic hotel bookings

For example, if this setting is configured with the value 9, the system will use this number as the reference for applying the restriction.

This value is not fixed and can be configured according to the operator’s needs.

For international hotels, there is an equivalent setting:

Maximum number of international hotel bookings

It works in the same way and is used when the hotel being booked is located outside the agency’s country.


Which bookings are included in the count?


The system only counts bookings that are currently in Confirmed status.

Bookings with the following statuses are not included:

  • Cancelled

  • Rejected

Therefore, once a booking is cancelled or rejected, it is no longer included in the calculation used by this functionality.


Does the system only consider bookings created at the same time or in the same batch?


No.

The functionality does not check whether the bookings were created in the same batch, during the same transaction, or within the same period.

When a new booking attempt is made, the system checks all Confirmed bookings for that agency that have the same characteristics as the new request.

To be included in the count, the bookings must have:

  • The same hotel

  • The same check-in date

  • The same number of nights

The booking creation date does not affect this validation.

This means that previously confirmed bookings, even if they were created weeks or months earlier, may still be included as long as they remain confirmed and meet the same criteria.


Practical example


Consider that the “Maximum number of domestic hotel bookings” setting is configured as 9.

A specific agency already has 8 confirmed bookings for:

Hotel: Example Hotel
Check-in: November 15, 2026
Number of nights: 3

Even if these 8 bookings were created previously and separately, they will still be considered by the functionality.

When a new booking attempt is made for the same hotel, same check-in date, and same number of nights, the system will check the existing confirmed bookings before allowing the operation to continue.

As a result, the restriction may be triggered even if the user is trying to create only one new booking at that moment.


Are previously cancelled bookings considered again?


No.

If a booking was previously confirmed but has since been cancelled, it is no longer included in the count.

The same applies to rejected bookings.

The validation considers the current booking status at the moment of the new booking attempt.


Summary of the rule


The functionality will be applied when:

  1. “Group Booking Blocking” is enabled for the Operator.

  2. “Group Booking Blocking” is enabled for the Agency.

  3. A maximum booking limit is configured for domestic or international hotels.

  4. The agency has bookings with Confirmed status.

  5. These bookings have the same hotel, the same check-in date, and the same number of nights as the new booking attempt.

Bookings with Cancelled or Rejected status are not included in the count.

The bookings also do not need to have been created together or in the same batch. All confirmed bookings that meet the criteria are considered, regardless of when they were created.


Support team guidance


If a client reports that a booking is being blocked by the “Group Booking Blocking” functionality, we recommend checking:

  1. Whether the functionality is enabled for both the Operator and the Agency.

  2. The value configured in “Maximum number of domestic hotel bookings” or “Maximum number of international hotel bookings”.

  3. How many confirmed bookings the agency has for the same hotel.

  4. Whether these bookings have the same check-in date.

  5. Whether they have the same number of nights.

  6. Whether there are older confirmed bookings that are still being included in the count.

This analysis helps identify why the restriction was triggered and allows the client to be properly guided regarding the expected behavior of the functionality.
